By linking Wheel of Business to the accounting system, you can reduce your workload tremendously. Other departments can see the slice of information they need, without bothering your people, or compromising the accounting data.
Sales Orders
A user-friendly interface allows orders to be entered easily. Wheel of Business uses the quotation or proposal mechanisms to make sure that pricing has been properly authorized, and that the products or services exist in the database. A single mouse-click can convert the quotation into an order, which is sent to the accounting package.
Customers – Co-Opting Sales Personnel
On installation, the accounting customer base is exported to GoldMine through mechanisms in Wheel of Business. From there forward, it is usually easier for sales to enter new customer information through Wheel of Business, which passes it on to the accounting package.
Recurring Billing – The ‘Forgotten’ Source of Income
Bills of constant value which are invoiced according to a known schedule (like rent or licensing fees) can be set up to request an invoice of the accounting package at the right times. Set up the schedule years in advance, and never worry that you will forget the invoice, or miss the income.
MAS 90/200 Integration – A Minor One-Time Event
Customers are imported into MAS 90/200 from GoldMine. Orders in Wheel of Business become sales orders in MAS 90/200. Wheel of Business can view (but not modify) accounting data in MAS 90/200. The access time for such viewing may be faster than MAS 90/200 itself.
QuickBooks Integration – Begins In Simplicity
A one-time transfer of contacts from QuickBooks to GoldMine through a de-duplication mechanism begins the integration. Orders in Wheel of Business become sales orders in QuickBooks. Wheel of Business can view (but not modify) accounting data in QuickBooks on a real-time basis. The access time for such viewing is considerably faster than QuickBooks itself.
Collection Calls – Fast and Organized
Set up trigger points to alert you to delinquencies using color-coding to indicate the severity of the problem, and establish the sequence of actions you will follow. The system documents time and date, as well as the communications to the delinquent, automatically.
Credit Hold Alerts – Defender of Profitability
Set credit-hold alert conditions, and an alert window pops up when the purchasing contact of an on credit hold customer is viewed for more than 7 seconds. Whether or not your employee chooses to acknowledge the alert, that they did see it is noted in the customer’s record.
Expenses – Controlling Who Is Charged, and Who Signs
Assign expenses to particular projects, or even to external clients by line item or expense report. You can even split the cost across departments. Expenses go to the accounting package as a bill to be paid, already approved by management. Of course, accounting still has to cut the check.
ODBC Integration – Overcoming Babel
Our use of ODBC and SQL eliminates the need for special programming languages and interfaces. This way we give non-accounting departments a fast viewer into the accounting data they need to see. By using SQL, only the specific information needed is shown, keeping your database secure.
Accounting Viewer – Never Be Blind Again
View sales order information by customer, order number, line items, or sales order header, or answer invoicing questions by invoice number, header, line items or by customer, all without asking accounting. Find out what is in inventory.
